Americon Restoration of the Ohio Valley is seeking a reliable, organized, and customer-focused Front Desk Administrator to serve as the first point of contact for our growing restoration company.

This role is essential to keeping our office operations running smoothly while supporting both our internal team and field crews. The ideal candidate is proactive, detail-oriented, professional on the phone, and comfortable juggling multiple responsibilities in a fast-paced environment.

Experience working with residential or commercial insurance claims is preferred and considered a strong advantage.

Key Responsibilities

Front Desk & Communication

  • Answer and manage all incoming phone calls in a professional, friendly, and timely manner
  • Direct calls, inquiries, and messages to the appropriate team members
  • Greet and assist walk-in clients, vendors, or visitors
  • Serve as a positive first impression of the Americon brand

Claims & Job Coordination

  • Enter new jobs and client information accurately into company systems
  • Review incoming insurance claims to ensure all required information is complete
  • Collect missing claim details including:
    • Insurance carrier information
    • Adjuster names and contact information
    • Claim numbers
    • Additional job-specific documentation as needed
  • Communicate with homeowners, commercial clients, insurance carriers, and adjusters to gather information and keep claims progressing efficiently
  • Maintain accurate and updated job records across internal systems

Administrative Support

  • Provide administrative support to leadership and all departments as needed
  • Assist with scheduling, outbound calls, appointment coordination, and follow-up communication
  • Support office-to-field communication to keep projects moving smoothly
  • Assist with document preparation, filing, scanning, and data entry
  • Help with special projects and miscellaneous administrative tasks

Office Operations

  • Order office supplies, uniforms, materials, and requested job site items
  • Maintain office organization, cleanliness, and day-to-day efficiency
  • Monitor supply inventory including paper, toner, office essentials, and branded materials
  • Help maintain a positive, professional, team-oriented office environment

Qualifications

  • Previous administrative, receptionist, front desk, or office coordination experience preferred
  • Experience in restoration, construction, insurance, or related industries is a plus
  • Insurance claims experience strongly preferred
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Comfortable multitasking in a fast-paced environment
  • Strong customer service mindset
  • Proficient with computers, email, and office software
  • Ability to work independently while supporting a collaborative team
